AI Follow-Up Automation for Texas Contractors

Plenty of contractor jobs are not lost on price. They are lost in the quiet weeks after the estimate, when nobody calls back. Follow-up automation keeps those conversations alive with messages that read the customer’s reply and stop the moment a person should step in. Five points where a contractor’s pipeline goes quiet

Ask a contractor why a job slipped away and the answer is often not “they went with someone cheaper.” It is “I don’t know, they stopped answering.” Following up is the task everyone agrees matters and nobody has time for, because it competes with running crews, ordering material and putting out today’s fires. Silence tends to settle in at five predictable points, and each one calls for a different kind of message.

  1. The first reply never happened. A form came in during a job walk, a call went to voicemail on a Saturday, and by the time anyone answered, the homeowner had booked a competitor.
  2. The estimate went out and nothing came back. The customer may be comparing bids, waiting on a spouse, or simply lost the email under a pile of others.
  3. The customer said “not yet.” After the holidays, after the insurance check clears, after the HOA meets. A real date, which nobody wrote down.
  4. The job finished and the relationship stopped. No review request, no referral ask, no check on how the work is holding up.
  5. Past customers drift away. They next hear from you when they search for someone else, because nobody reminded them the AC was due for service or the deck needed sealing.

A single generic drip campaign aimed at all five is the most common setup we find, and it is why so many contractors have concluded that automated follow-up feels spammy. The fix is not fewer messages. It is the right message for the moment, from a system that notices when the moment has changed.

Sequence by sequence: trigger, cadence, channel and exit

Each sequence is defined by what starts it, how often it speaks, where it speaks, and, most importantly, what ends it. The cadences below are starting points we adjust with every contractor; the final schedule is yours.

Where AI earns its place over an ordinary drip tool is in the content. A plain drip sends the same “just checking in” to everyone. An AI-assisted sequence writes each message from the actual estimate: it can mention that the customer was weighing the repair against the full replacement, remind a pool buyer that the permit and HOA steps take time on your side, or ask a roofing customer whether the adjuster meeting has happened yet. The template, the tone and the limits are approved by you; the personalization fills in details that already sit in your records.

Reading the reply: what plain drip campaigns cannot do

Most follow-up tools measure opens and clicks. The valuable signal is the reply, and a reply needs reading. Every inbound answer to a sequence is sorted into one of a small set of categories, and each category has a fixed action:

  • Ready to go (“let’s do it,” “how do we get on the schedule?”): the salesperson or office is alerted immediately, and the customer gets the signing or deposit link your office already uses.
  • A question about scope, materials or timing: answered from the estimate and your written FAQs if the answer is there; otherwise routed to the estimator with the question quoted.
  • A price objection: never discounted or negotiated automatically. It goes to the owner or salesperson with the estimate and the customer’s exact words, because how you handle price is a business decision.
  • “Not now” with a date: the sequence pauses and reschedules itself for that date.
  • “We went with someone else”: a short, gracious close, with one optional question about what tipped the decision. That answer is gold for your next estimate.
  • Stop, unsubscribe or wrong number: the contact is suppressed at once, across every sequence.
  • Anger or a complaint: every automated message to that customer halts and a person is alerted.
  • Auto-replies and out-of-office notes: ignored, with the next touch pushed back.

When the classifier is not confident, the reply goes to a person. We would rather your office read a few extra messages than have the system guess wrong about a customer who was ready to sign. And across every category the same limits hold: the AI does not negotiate, offer discounts, change scope or promise start dates. It keeps the conversation moving and hands the decisions to you.

Stop rules, quiet hours and consent to text

Most of the damage done by follow-up automation comes from messages that should never have gone out: a “still thinking it over?” text to someone who signed yesterday but whose record was not updated, a review request to a customer with an open warranty complaint, a reminder that lands at six in the morning. We treat stop rules as the core of the system, not an add-on.

What pauses or ends a sequence

  • Any inbound reply pauses the sequence until it is classified.
  • A stage change in your CRM, such as signed, lost or on hold, ends it.
  • An open ticket or complaint on the job blocks review requests.
  • A person on your team can pause any contact with one action.
  • A hard cap on total touches per sequence, so nothing runs forever.

Quiet hours in two time zones

Messages are sent within hours you set, in the recipient’s local time. That detail matters in Texas more than people expect: most of the state runs on Central Time, but El Paso and the far western corner run on Mountain Time, so a contractor working statewide needs the system to know the difference.

Consent and carrier rules

Federal law, through the Telephone Consumer Protection Act, and Texas’s own telephone-solicitation rules both reach marketing text messages. We build consent capture into your forms and chat, keep a record of when and how each person agreed, and honor STOP and similar replies automatically. US mobile carriers also require businesses sending texts through software to register their brand and message campaigns, commonly called A2P 10DLC registration, and unregistered traffic tends to get filtered.   • HVAC companies: a tune-up reminder before the summer heat sets in, and a heating check before the first cold front.
  • Plumbers: freeze-prep notes when a hard freeze is forecast, such as where the main shutoff is and how to protect exposed pipes, which build trust long before the next service call.
  • Roofers: a calm check-in to past customers in ZIP codes a hailstorm crossed, offering an inspection without alarmist language, which keeps your company clear of the storm-chaser reputation.
  • Landscaping companies: irrigation reminders timed to local watering schedules, which many Texas cities publish and change.
  • Pool builders: opening-season care and equipment check reminders.
  • Solar installers: an annual production review invitation around the install anniversary.
  • Property managers: make-ready reminders ahead of heavy lease-turnover months.
  • Real estate teams: closing-anniversary notes and seasonal home-care checklists for past buyers.

The calendar also tells the system when to be quiet. From June to the end of November the Gulf Coast lives with hurricane risk, and after a storm makes landfall, nobody in Houston, Galveston or Corpus Christi wants a text asking whether they are still interested in a patio cover.
